services of people and places

  • Matching volunteers to placements, purely in an advisory capacity
  • people and places commit to ensuring that we will make all reasonable endeavour to check that all the relevant details for the volunteer, the local partner and the project are accurate, thus ensuring as good a match as is reasonable
    (people and places and the volunteer accept that the final authority on the acceptance of the match is down to the local partner in consultation with the project)
  • 24-hour helpline in the host country, with a named person assigned to each volunteer
  • 24-hour emergency number in the UK


bookings & payments

  • The volunteer placement will be confirmed upon receipt of a placement matching fee as detailed on each project description - which will be invoiced when a placement has been agreed by all parties. This placement cannot be confirmed by people and places until the matching fee has been paid.
  • The balance of all fees will be invoiced 8 weeks before departure and are payable no later than 6 weeks before departure.
  • Acting on behalf of the the local partner, people and places provides the volunteer with information to include:
    - placement details
    - accommodation details
    - payment schedule to include invoicing details
    - volunteer confirmation form of travel, medical and insurance arrangements
    (This information will be in electronic form but is also available in hard copy on application)
  • Once any monies have been received from the volunteer by the local partner team, and in the unlikely event that the preferred placement is unavailable, people and places will work with the local team to offer a suitable alternative 
  • All placement bookings are subject to a 7-day cooling off period. Cancellation of a booking must be received by people and places in writing, via email or by post within this 7-day cooling off period. If cancellation is received after the 7-day period, the matching fee will be retained  to cover costs incurred. A scale of cancellation fees will be applied thereafter, as outlined in the local team's terms & conditions
  • people and places reserves the right to cancel a booking at any time on instruction from and on behalf of the local team in the case of the volunteer:
    a) failing to provide any of the requested data by required dates
    b) failing to meet the screening requirements. These are to include, but are not limited to, the provision of references,a Criminal DBS disclosure and acceptance of our child protection and privacy policies. 


volunteer responsibility

The volunteer is entirely responsible for the arrangement, booking, confirmation and payment of their
  • return flights
  • full personal, medical and travel insurance for the duration of the placement
  • all medical matters, to include but not necessarily limited to, medical checks and certificates, vaccinations, prophylactics and any other medications recommended by your medical advisor
  • any specific equipment as recommended or required by the local team
  • registration or other documentation as required by the local team
  • details of any personal special requirements at the time of booking
  • full valid passport & visa as required

In addition, the volunteer must ensure their understanding of our privacy policy and the relevant childprotection policies and volunteer codes of conduct as supplied during the matching and preparation process.


complaints procedure

  • In the event of a complaint during the volunteer placement, they should draw it to the attention of a member of the local partner team as soon as possible
  • In the event of a lack of resolution through the local team, the volunteer should draw the matter to the attention of people and places by telephone and confirm if necessary by email
    N.B. people and places can assume no liability for any problem not raised or brought to its attention at the time that the problem occurs


disclaimer

The limitation of liability for people and places is outlined below. It is important that the volunteer understands these limitations.

  • people and places is not the agent for the local team or any other service provider involved with the volunteer placement.
  • people and places receives none of the volunteer's money except those monies clearly detailed as the people and places fee. The contract is between the volunteer and the local team, and the local team is entirely responsible for all aspects of the volunteer's placement. It is the responsibility of the volunteer to ensure that they have read and fully understand the terms and conditions provided by the local partner team.
  • The local teams and other organisations that provide the project placements are totally independent of people and places, which is not liable unless it has failed to exercise reasonable care. people and places will not be liable for any negligence or omission on the part of the local partner team. people and places will not be liable for any loss, damage, expense, or other claim of any description by the volunteer.
  • people and places will accept no liability in the event of unforeseen events such as war, terrorist activities either threatened or actual, industrial action either threatened or actual, civil unrest, closure of airports or any other event outside its control that either delays or extends the volunteer placement.
  • people and places makes every reasonable effort before the volunteer's departure to ensure that the placement will be as agreed and safe. It cannot however guarantee this absolutely. In the event of people and places being made aware of bad practice on the part of the local partner team, their projects, or volunteers, it will immediately investigate the matter and take appropriate action.
  • people and places  cannot not accept any liability for, or warrant the quality and standard of, the information about projects on the site. It relies on information on the projects as supplied by the local partner teams for use on this site, and is not able to assure all information and has to disclaim all liability in respect of such information. people and places is specifically not liable for any injury and/or damage to persons during, or as a result of, any placement taken as a result of enquiries made through this website.
  • The advice on this site including, but not limited to, medical, visas and travel is meant only as guidance and professional advice should be sought wherever appropriate.


the law and your protection

  • These conditions will be governed by the laws of England and Wales. Any claim by either the volunteer or by people and places against the other will be attended to through the courts of England and Wales.
  • By signing, submitting and accepting the registration document, both parties accept that the volunteer is a volunteer tourist not an employee of people and places, the local partner team or the project.
  • Nothing in these terms is intended to limit our liability in the case of death or injury due to our legally proved negligence.

Privacy and personal data and our lawful basis for processessing personal data
  • Under the General Data Protection Regulation (GDPR) which supercedes the Data Protection Act (1998) people and places is defined as a data controller (ICO eg no Z9140879).
  • We place volunteers in community based projects; in order to do this we need to collect personal data, all of which you will have consented to share because we need that information to plan and manage your volunteer placement
    We have a duty to ensure that your volunteer placement is meaningful, worthwhile and safe, for you and for the local communities in which you work. It is important that we conduct a complete and accurate check of and for each applicant. Your data is requested for this sole purpose.
  • We will need to transfer sensitive personal data, (for example but not exclusively, screening disclosure,pertinent medical information and passpot details)  to the local partner teams)and submission of a completed registration form includes permission to do so.To view our data protection policy please click here
  • people and places reserves the right to use and edit any correspondence  about the projects, local partner teams or people and places received from you, without your prior consent - except those items marked as confidential.
  • people and places reserves the right to use any photos of you during your placement without your prior consent.
